Generate, print, send or download an invoice

The four single-order actions, what each one does, and what happens when a PDF already exists.

Updated 2026-10-18

The four actions

  • Generate renders the PDF and stores it. On the order's page the button reads Generate Invoice until a PDF exists, then Download Invoice.
  • Print opens the browser's print dialog with the rendered document. With page numbers switched on in the template's Footer block, the print uses the PDF so the numbers appear.
  • Send emails the PDF to the customer's address on the order. Needs the Medium Business plan or higher; see Email and delivery.
  • Download saves the PDF to your computer.

When a PDF already exists

Settings → General → Document Preview → Existing PDF decides what Print and Download do when the order already has a generated PDF: Ask (a dialog offers Reuse or Regenerate), Reuse, or Regenerate. A PDF is treated as stale, and offered for regeneration, when the template was edited, the order was edited in Shopify, or a per-order edit was saved after the PDF was made.

What counts toward your plan

Every successfully generated PDF counts as one document. Reusing an existing PDF does not count, and a regeneration whose output is byte-for-byte identical to the current version is not billed again.

After generating

Settings → General → After Generating chooses between an in-app viewer, an immediate download, or the print dialog.
